This Account and Data Deletion Policy explains how customers and other individuals may request deletion of a LoomTrend account or personal information associated with their use of our website.

LoomTrend respects individuals’ privacy rights and aims to handle deletion requests fairly, securely, and in accordance with applicable data-protection requirements.

Under the Nigeria Data Protection Act 2023, individuals have rights relating to their personal data, including rights to rectification, restriction, objection, portability, and erasure in applicable circumstances. This Policy should be read together with our Privacy Policy, Data Usage Policy, Cookie Policy, Terms and Conditions, and other policies published on LoomTrend.

1. Scope of This Policy

This Policy applies to personal information associated with your interactions with LoomTrend, including information connected with:

  • Customer accounts
  • Orders
  • Checkout activity
  • Delivery information
  • Customer-support enquiries
  • Newsletter subscriptions
  • Reviews or feedback
  • Return, refund, or cancellation requests
  • Website activity
  • Cookie-related information where applicable
  • Other information you have provided directly to LoomTrend

Not every deletion request will involve every category listed above.

2. Requesting Account Deletion

If you have created a LoomTrend customer account and no longer wish to maintain it, you may request deletion of your account.

Please clearly state that you are requesting account deletion.

To help us locate the correct account, you may be asked to provide information such as:

  • Your name
  • Email address associated with your account
  • Relevant order number, where appropriate
  • Other limited information needed to verify the account

You should never provide your account password, CVV, UPI PIN, banking password, or one-time payment authentication code as part of a deletion request.

3. Requesting Deletion of Personal Data

You may also request deletion of eligible personal information without necessarily requesting complete closure of your customer account.

For example, you may ask us to review whether certain:

  • Customer-support information
  • Marketing information
  • Account-profile data
  • Review information
  • Contact information
  • Other personal information

can be deleted.

Whether information can be erased will depend on the nature of the data, why it is being processed, and whether LoomTrend has a lawful reason or legal obligation to retain it.

The Nigeria Data Protection Commission’s guidance recognises that personal data may be erased where, for example, it is no longer necessary for its original purpose, consent is withdrawn and no other lawful basis applies, or the data has been processed unlawfully. 4. Right to Erasure

Under applicable Nigerian data-protection requirements, the right to deletion or erasure is not necessarily an unconditional right to have every business record immediately destroyed.

A deletion request may apply where, for example:

  • Personal data is no longer necessary for the purpose for which it was collected.
  • You withdraw consent where consent was the relevant lawful basis and no other lawful basis applies.
  • You validly object to certain processing and there is no overriding lawful reason to continue.
  • Personal data has been processed unlawfully.
  • Erasure is necessary to comply with an applicable legal obligation.

5. Account Closure Versus Data Deletion

Closing a LoomTrend account and deleting all information connected to the account are not always the same thing.

When an account is closed:

  • Login access may be disabled.
  • Customer-facing account information may be removed.
  • Optional profile information may be deleted.
  • Marketing preferences may be removed or suppressed.

However, some information may need to remain in LoomTrend’s records where it is reasonably necessary for legal, transactional, accounting, fraud-prevention, consumer-protection, or dispute-resolution purposes.

For example, deletion of your account does not necessarily require LoomTrend to immediately delete every record of a completed purchase.

6. Order and Transaction Records

Where you have previously purchased products from LoomTrend, certain transaction records may need to be retained even after account deletion.

These may include:

  • Order number
  • Products purchased
  • Transaction amount
  • Payment reference
  • Purchase date
  • Delivery information
  • Refund information
  • Relevant invoice or transaction records

Such information may need to be retained for legitimate purposes including:

  • Accounting
  • Financial record keeping
  • Tax obligations
  • Refund administration
  • Chargeback disputes
  • Consumer complaints
  • Fraud prevention
  • Establishment or defence of legal claims

Where continued retention is legally justified, access to such information should remain appropriately restricted.

7. Payment Information

A request to delete your LoomTrend account does not necessarily control information independently held by a bank, card issuer, payment processor, or other financial institution.

Third-party payment providers may be required to retain transaction records under their own legal, security, fraud-prevention, or regulatory obligations.

LoomTrend may retain limited payment-related information such as:

  • Transaction reference
  • Payment status
  • Amount
  • Currency
  • Refund status
  • Payment date

Customers must never send their CVV, UPI PIN, online-banking password, OTP, or similar authentication credentials when making an account or data deletion request.

The statement “We do not store your debit or credit card numbers, CVV, or UPI PIN on our servers” should only be published as an unconditional technical statement after LoomTrend’s payment configuration has been confirmed by its developer or payment provider.

8. Pending Orders

If you request account deletion while an order is still being processed, LoomTrend may need to retain and use sufficient information to:

  • Process the order
  • Prepare the products
  • Arrange delivery
  • Communicate order updates
  • Handle payment
  • Resolve a delivery issue
  • Process a requested refund or cancellation

Your account may therefore not be fully deleted until the relevant transaction has been completed or otherwise resolved where the information remains necessary for performance of the transaction.

9. Pending Returns, Refunds or Exchanges

Where a return, refund, exchange, complaint, or cancellation is still ongoing, relevant information may be retained until the matter is completed.

This can include:

  • Order details
  • Correspondence
  • Product photographs
  • Return tracking information
  • Transaction references
  • Refund information

Once the matter is resolved, information that no longer needs to be retained may be deleted or anonymised in accordance with our retention practices.

10. Legal Claims and Disputes

LoomTrend may retain relevant personal information where reasonably necessary for the establishment, exercise, investigation, or defence of a legal claim or dispute.

For example, data may need to be retained where there is:

  • An unresolved payment dispute
  • A chargeback
  • A consumer complaint
  • Suspected fraud
  • An ongoing court matter
  • A regulatory enquiry
  • A contractual dispute

Retention in such circumstances does not mean that the data may be freely used for unrelated purposes.

11. Fraud and Security Records

Certain security information may need to be retained for a limited period even after account deletion where necessary to protect LoomTrend and its customers from:

  • Payment fraud
  • Account abuse
  • Identity misuse
  • Repeated fraudulent ordering
  • Chargeback abuse
  • Cyberattacks
  • Other unlawful activity

Any continued retention should be proportionate to the relevant risk and supported by an appropriate lawful basis.

12. Marketing Data

If you ask us to stop sending marketing communications, LoomTrend may remove your email address from active promotional lists.

In some circumstances, we may retain a limited suppression record to ensure that your email address is not accidentally added back to future marketing campaigns.

A suppression record is not intended to be used for continued advertising.

You may unsubscribe from marketing without deleting your customer account.

13. Newsletter Subscriptions

If you only wish to stop receiving newsletters or promotional emails, you do not need to request full account deletion.

You may:

  • Use an unsubscribe option provided in marketing emails where available; or
  • Contact LoomTrend and ask us to remove your email address from promotional communications.

Necessary messages relating to an existing order, payment, refund, account security, or customer-support matter may still be sent where required.

14. Reviews and Testimonials

If you submit a review, testimonial, rating, photograph, or similar content, you may contact LoomTrend to request removal where appropriate.

We may need to verify that the request relates to content submitted by you.

Where a review is removed from public display, certain internal records may still be retained where legitimately necessary for:

  • Moderation
  • Fraud prevention
  • Complaint investigation
  • Legal compliance

Where no lawful retention reason remains, associated personal data should not be retained unnecessarily.

15. Customer-Support Messages

Customer-support emails and communications may contain personal information.

Where you request deletion, LoomTrend will assess whether those communications can be deleted.

Certain communications may need to remain where they relate to:

  • Completed transactions
  • Refunds
  • Complaints
  • Legal matters
  • Fraud investigations
  • Consumer disputes
  • Regulatory obligations

Routine communications that are no longer needed may be deleted according to LoomTrend’s retention practices.

16. Cookies and Browser Data

Account deletion does not automatically delete cookies already stored on your own device.

Cookies are stored through your browser or device environment.

After deleting an account, you may separately:

  • Delete cookies from your browser.
  • Clear browser storage.
  • Update cookie preferences through LoomTrend’s cookie settings where available.

17. Anonymous and Aggregated Information

Information that has been genuinely anonymised so that it no longer identifies or can reasonably be linked to an individual may not fall within a deletion request in the same way as identifiable personal data.

LoomTrend may continue to use appropriately anonymised or aggregated information for purposes such as:

  • Website performance analysis
  • Sales statistics
  • Inventory planning
  • General business analysis

Such information should not be used to recreate or identify a deleted customer profile.

18. Information Held by Third Parties

Some information may be processed independently by third-party providers, such as:

  • Payment processors
  • Banks
  • Delivery companies
  • Analytics providers
  • Email platforms
  • Hosting providers

Where LoomTrend controls the processing performed by a service provider on its behalf, we will take reasonable steps to address applicable deletion requests with that provider.

However, where another organisation independently determines why and how information is processed, you may also need to contact that organisation directly regarding its records.

19. Delivery Providers

Delivery providers may retain shipment information independently under their own legal or operational requirements.

Deleting your LoomTrend account does not automatically require an independent delivery provider to immediately erase all records of a completed shipment where that provider has a lawful basis to retain them.

LoomTrend will nevertheless limit the information shared with delivery providers to what is reasonably necessary for the relevant delivery or associated issue.

20. Identity Verification

Before deleting an account or providing access to personal information, LoomTrend may take reasonable steps to confirm that the request is being made by the correct person.

Verification protects customers against someone else maliciously deleting their account or obtaining their personal information.

We may request reasonable information such as:

  • Account email address
  • Order number
  • Basic account information
  • Other limited information related to the relevant account

We will not ask for unnecessary confidential financial credentials.

21. Requests Made on Behalf of Another Person

Where someone makes a data deletion request on behalf of another individual, LoomTrend may require evidence that the person is authorised to act for the relevant customer.

This may be necessary where the request is made by:

  • A parent or guardian
  • A legally appointed representative
  • An authorised agent
  • A person acting under another legally recognised authority

The verification process should be proportionate to the nature of the request.

22. Children’s Data

LoomTrend is not designed as a service specifically directed at children.

Where a parent or legal guardian believes that a child has provided personal information to LoomTrend without the appropriate authorisation, the parent or guardian may contact us and request review or deletion.

Nigeria’s data-protection framework provides additional protections concerning children’s personal data and consent. The NDP Act addresses processing involving children and persons who lack legal capacity to consent.

Where deletion is appropriate and no lawful reason for retention applies, LoomTrend will take reasonable steps to remove the relevant information.

23. When Data Cannot Be Immediately Deleted

A deletion request may be limited where continued processing or retention is reasonably necessary and legally permitted.

Examples may include information required for:

  • Compliance with a legal obligation
  • Existing contractual obligations
  • Accounting and transaction records
  • Fraud prevention
  • Consumer-protection records
  • Regulatory requirements
  • Legal claims
  • Exercise or defence of legal rights
  • Security investigations

Where we cannot comply fully with a deletion request, we will seek to explain the relevant reason where legally appropriate.

24. Restriction Instead of Deletion

In some circumstances, information may need to be restricted rather than immediately deleted.

Restriction means that the information is retained but its active use is limited.

For example, this may occur where:

  • Accuracy is being disputed.
  • A legal claim is ongoing.
  • Deletion is temporarily inappropriate.
  • The individual requests restriction in circumstances recognised by applicable law.

25. Data Retention After Account Closure

LoomTrend will not retain identifiable personal information indefinitely merely because an individual previously held an account.

Different categories of information may have different retention periods depending on:

  • Legal requirements
  • Transaction history
  • Contractual needs
  • Security requirements
  • Complaint periods
  • Fraud risk
  • Accounting requirements

Where continued retention is no longer reasonably necessary, information should be deleted, anonymised, or securely disposed of.

26. How Deleted Data Is Handled

Where deletion is approved, LoomTrend may take steps such as:

  • Removing customer-account access
  • Deleting eligible profile information
  • Removing marketing information
  • Deleting eligible customer-support information
  • Removing eligible publicly submitted information
  • Instructing relevant processors to delete information where appropriate
  • Anonymising records that do not need to remain personally identifiable

The specific action depends on the nature and location of the information.

27. Backup Systems

Personal data may sometimes remain temporarily in system backups after deletion from active systems.

Backups may exist for legitimate purposes such as:

  • Disaster recovery
  • Security
  • System restoration
  • Business continuity

Where information remains in a backup, it should not ordinarily be restored for active use except where necessary for legitimate system-recovery purposes.

Where backups are replaced or expire through ordinary system processes, deleted information should cease to remain within those backups over time.

28. Account Reactivation

Once an account has been fully deleted, LoomTrend may not be able to restore:

  • Previous account settings
  • Saved preferences
  • Stored account details
  • Wishlist information
  • Other deleted account features

If you later wish to shop with LoomTrend again, you may need to create a new account.

Information LoomTrend was legally required to retain from previous transactions may remain separate from any newly created customer account.

29. Effect on Order History

Deletion of your account may remove your ability to access historical order information through the customer account interface.

However, LoomTrend may retain transaction records in internal business systems where legally required or reasonably necessary.

Before requesting account deletion, customers may wish to save copies of relevant:

  • Order confirmations
  • Receipts
  • Refund confirmations
  • Delivery information

where such records may be needed later.

30. Data Portability Before Deletion

Where applicable, you may request a copy of certain personal information before asking us to delete it.

Customers who want both a copy of their eligible data and account deletion should clearly state both requests when contacting us.

31. Correcting Data Instead of Deleting It

If information is inaccurate, you may prefer to request correction rather than deletion.

For example, we may be able to update:

  • Name
  • Email address
  • Delivery address
  • Account information

32. Withdrawal of Consent

Where a particular processing activity relies on your consent, you may withdraw that consent.

Withdrawal may be relevant to activities such as:

  • Optional marketing
  • Certain cookies
  • Other optional processing

Withdrawal of consent does not automatically require deletion of information where another lawful basis requires or permits continued retention.

It also does not invalidate processing that was lawful before consent was withdrawn.

33. Objecting to Processing

In certain circumstances, you may object to LoomTrend’s continued processing of your personal information.

A valid objection may result in processing being stopped unless there is an appropriate lawful reason to continue.

34. Response to Requests

LoomTrend aims to respond to privacy and deletion requests within a reasonable period and in accordance with applicable data-protection obligations.

The time needed to complete a LoomTrend request may depend on factors such as:

  • Complexity of the request
  • Identity verification
  • Number of systems involved
  • Pending transactions
  • Applicable legal requirements

We will not intentionally delay a valid request without appropriate reason.

35. Refusal or Partial Fulfilment

In some circumstances, LoomTrend may not be able to fulfil all or part of a deletion request.

Where legally appropriate, this may occur because:

  • The data must be retained by law.
  • The information is required for a legal claim.
  • A transaction remains unresolved.
  • Fraud prevention requires limited retention.
  • Deletion would improperly affect another person’s rights.
  • Another legally recognised exception applies.

Where possible and appropriate, LoomTrend will explain why the request could not be fully completed.

36. Security of Deletion Requests

Account and data deletion requests may themselves contain personal information.

We will use reasonable measures designed to ensure that deletion requests are:

  • Accessed only where necessary.
  • Used to process the request.
  • Protected against unauthorised disclosure.
  • Retained only as long as reasonably required for the request and related compliance records.

A limited record of the deletion request may be retained where necessary to demonstrate that LoomTrend responded to its privacy obligations.

37. Complaints About Data Requests

If you believe LoomTrend has not appropriately handled your account or data deletion request, please contact us first so we can review the matter.

Under the NDP Act, individuals also have the right to raise privacy concerns with Nigeria’s data-protection supervisory authority. 38. Changes to This Policy

LoomTrend may update this Account and Data Deletion Policy when:

  • Website functionality changes
  • Account features change
  • Service providers change
  • Data-processing practices change
  • Applicable legal requirements change
  • Retention procedures change

The latest version will be published on our website with an updated effective or revision date.

Changes will not be used to remove rights that cannot lawfully be restricted.
